Privacy Policy

CloseMint helps buyers and sellers get paid back at closing by matching them with vetted local real estate agents. We take your privacy seriously. This policy explains, in plain language, what we collect, how we use it, who we share it with, and the choices you have.

1. Introduction

CloseMint is a licensed real estate referral service. When you ask us to check your rebate or connect you with an agent, we collect a small amount of information so we can match you, communicate with you, and process your closing rebate. This Privacy Policy applies to everyone who visits closemint.com, fills out a form, opts into texts, or works with a CloseMint-matched agent. It also applies to real estate agents who apply to join our network. By using the service, you agree to the practices described below.

2. Information We Collect

Information you provide directly

  • Your name, email address, and phone number
  • Property address (or general area) and estimated home price
  • Transaction type (buyer, seller, or both)
  • Communication preferences (email, SMS opt-in, preferred contact time)
  • Free-text notes you choose to send us
  • For agents: license number, brokerage, primary market, and production history

Information collected automatically

  • IP address and approximate location derived from it
  • Browser type, operating system, and device characteristics
  • Pages viewed, time on page, and clicks within the site
  • Referral source (the site or link that sent you to us)
  • UTM parameters (campaign, source, medium, content, term)
  • Cookies and similar technologies (see Section 7)

Information from third parties

  • Lender pre-approval status, when you authorize your lender to share it with us
  • Feedback from your matched agent on transaction status (under contract, closed, withdrawn)
  • Closing details from the title or escrow company needed to disburse your rebate

3. How We Use Your Information

  • Match you with vetted local real estate agents in your market
  • Calculate, document, and process your closing rebate
  • Communicate with you about your transaction status, next steps, and rebate disbursement
  • Improve our matching algorithm and overall service quality
  • Comply with legal obligations, including the Real Estate Settlement Procedures Act (RESPA), state real estate licensing law, anti-fraud rules, and tax reporting requirements (for example, IRS Form 1099 where applicable)
  • Where you explicitly opt in, send marketing emails or SMS messages about real estate tips, market updates, and CloseMint announcements

4. How We Share Your Information

  • With your matched agent. We share your name, contact information, and property details with the agent we match you with. This is required to fulfill the referral and is the only way the agent can help you.
  • With your closing, title, or escrow company. At closing, we provide the information needed for your rebate to appear on the settlement statement (or to be disbursed via a separate, RESPA-compliant payment).
  • With service providers that help us run the business — email and SMS infrastructure, customer relationship management (CRM), analytics, and hosting — all under written data processing agreements that restrict their use of your data to the services they provide us.
  • With lenders only if you sign a TRID disclosure authorizing your buyer rebate to flow through your loan estimate and closing disclosure.
  • We never sell your information for advertising. We do not share it for unrelated third-party marketing.
  • Legal compliance. We may disclose information in response to a valid court order, subpoena, regulatory inquiry, or to investigate suspected fraud or harm.

5. Your Choices and Rights

  • Access. Request a copy of the personal information we hold about you.
  • Delete. Request deletion of your information, subject to legal record-keeping obligations (see Section 6).
  • Correct. Update any inaccurate or out-of-date information.
  • Opt-out. Unsubscribe from marketing emails using the link at the bottom of every message, or reply STOP to any marketing SMS at any time.
  • California residents (CCPA / CPRA). You have the right to know what personal information we collect, to delete it, to correct it, and to opt out of "sale" or "sharing" of personal information. CloseMint does not sell personal information and does not share it for cross-context behavioral advertising. We will not discriminate against you for exercising any of these rights.
  • Texas, Colorado, Virginia, Connecticut, and Utah residents. You have similar state-law rights, including access, deletion, correction, portability, and the right to opt out of targeted advertising and certain profiling. We honor these rights for all residents of those states.
  • How to exercise a right. Email privacy@closemint.com from the email address on file. We will verify your identity and respond within the timeframe required by applicable law (typically 45 days).

6. Data Retention

  • Closed transactions: retained for 7 years, which matches typical brokerage and state real estate record-keeping requirements.
  • Non-converted leads: retained for 2 years from your last contact with us, then deleted or anonymized.
  • Agent records: retained for the duration of the agent relationship plus 5 years for licensing and audit purposes.
  • After the retention period ends, we delete or anonymize the information so it can no longer be associated with you.

7. Cookies and Tracking Technologies

  • Essential cookies are required for the site to function (for example, to remember that you closed a modal). These cannot be disabled.
  • Analytics cookies help us understand which pages are useful and where people get stuck. We use a privacy-respecting analytics provider (PostHog or similar — to be finalized at launch).
  • We do not use cross-site advertising cookies and do not allow third parties to track you across the web from our site.
  • Browser controls. Every modern browser lets you block or delete cookies. Doing so may affect parts of the site that depend on essential cookies.

8. Children's Privacy

CloseMint is not directed at, and is not intended for use by, anyone under 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with information, email privacy@closemint.com and we will delete it.

9. SMS / TCPA Disclosure

We only send text messages to people who have explicitly opted in by checking the SMS opt-in box and providing a phone number. The exact consent language we use is:

"By providing your phone number and checking the SMS opt-in box, you consent to receive text messages from CloseMint about your rebate. Message and data rates may apply. Message frequency varies. Reply STOP to unsubscribe at any time. Reply HELP for help."

Consent to receive marketing texts is not a condition of using CloseMint or of being matched with an agent. For the full set of TCPA-required terms, including carrier information and supported handsets, see our SMS Terms (linked from each opt-in form).

10. Security

We protect your information with industry-standard safeguards: TLS encryption in transit, encrypted storage at rest, role-based access controls, audit logging, and regular reviews of who can access what. No system is perfectly secure, but if we ever experience a data breach that affects you, we will notify you and applicable regulators within 72 hours where required by law.

12. International Users

CloseMint operates in the United States only. Our service is intended for U.S. residents buying or selling U.S. real estate, and your information is stored on servers located in the United States. If you are accessing the site from outside the U.S., please be aware that your information will be transferred to and processed in the United States.

13. Changes to This Policy

We may update this policy from time to time. When we do, we will post the updated version here with a new effective date at the top. If we make material changes — for example, collecting new types of information or sharing it in new ways — we will notify active users by email before those changes take effect.
